Privacy Policy
Last updated October 9, 2026
This policy explains what information Cashedly (“Cashedly,” “we,” “us”) collects when you use the Cashedly bookkeeping software at app.cashedly.com and cashedly.com (the “Service”), how we use it, and the choices you have.
Information we collect
- Account information: your name, email address, password (stored only as a one-way hash), organization name, and team members you invite.
- Financial data you provide: bank and card statements you upload (CSV, OFX, QFX, PDF), transactions, receipts and documents, your chart of accounts, journal entries, categorization rules, and notes.
- Data from apps you connect: if you connect QuickBooks Online, we read your company name, bank and credit-card accounts, chart of accounts, and transactions (such as expenses, deposits, sales receipts, payments, bill payments, refunds, and transfers). If you connect Google Drive, we can open only the Google Sheets files you choose in the Google file picker, and we read your Google account email address to label the connection.
- Usage and technical data: log data such as IP address, browser type, pages visited, and timestamps, used to operate and secure the Service.
How we use information
- To provide the Service: importing transactions, categorizing them, maintaining your ledger, generating reports, and showing items for your review.
- To run AI-assisted features. Transaction details (for example description, amount, date, and your chart of accounts) and documents you upload for reading may be sent to an AI model provider to suggest categories or extract data. If your organization adds its own AI provider key in Settings, that provider is used; otherwise we use a provider we have contracted with. We do not permit these providers to use your data to train their models where the provider offers that control.
- To secure the Service, prevent abuse, troubleshoot problems, and keep audit records of changes to your books.
- To communicate with you about your account, security, and changes to the Service.
We do not sell your personal information or financial data, and we do not use it for advertising.
QuickBooks and Google data
QuickBooks access is read-only: Cashedly does not create, change, or delete anything in your QuickBooks company. Connection tokens for QuickBooks and Google are encrypted at rest. You can disconnect either app at any time from Settings → Integrations (or from within QuickBooks or your Google account); transactions already imported stay in Cashedly unless you ask us to delete them.
Cashedly’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Sheets data only to import the transactions you select, we do not use it for advertising, we do not transfer it to others except as needed to provide the Service or as required by law, and humans at Cashedly do not read it unless you ask us to for support, it is needed for security, or the law requires it.
How we share information
- Service providers who host and run the Service on our behalf (for example cloud hosting and database providers, email delivery, and AI model providers), under contracts that limit their use of your data.
- People in your organization according to the roles you assign (Viewer, Reviewer, Accountant, Admin, Owner).
- Legal and safety: when required by law, or to protect the rights, safety, and security of our users and the Service.
- Business transfers: if Cashedly is involved in a merger, acquisition, or sale of assets, subject to this policy.
Security
Data is transmitted over HTTPS, integration tokens and saved AI keys are encrypted, and access to each organization’s data is restricted to its members. No system is perfectly secure, so we cannot guarantee absolute security.
Retention and deletion
We keep your data for as long as your account is active, because bookkeeping records need to persist. You can ask us to delete your organization and its data by emailing hello@cashedly.com; we will delete it within 30 days, except where we must keep certain records to comply with law or resolve disputes. Backups are overwritten on a rolling basis.
Your choices and rights
You can access, export, and correct your data in the Service. Depending on where you live, you may have additional rights, such as to request a copy of your personal information or its deletion. To make a request, email hello@cashedly.com. We will not discriminate against you for exercising these rights.
Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect their information.
Changes
We may update this policy. If we make material changes, we will notify account owners by email or in the app before they take effect.
